Fellowmind Denmark A/S is dedicated to protecting the confidentiality and privacy of information entrusted to it. As part of this fundamental commitment, Fellowmind is committed to the appropriate protection and use of personal information (sometimes referred to as “personally identifiable information” or “PII”) collected online.

In general, our intention is to only collect personal information voluntarily provided by online visitors so that we can provide information and/or services to these individuals or offer information about employment opportunities. Please read this privacy policy to learn more about how we collect, use, share, and protect the PII we have obtained.

Collection and use of personal information

1.1 What information do we collect.
We collect personal information about you if you choose to provide it – for example, to contact us via email or to register for certain services. In some cases, you may have previously provided your personal information to Fellowmind. When you register or submit personal information to Fellowmind, we use that information in the manner described in this privacy policy. Your personal information will not be used for other purposes unless we obtain your permission or unless required or permitted by law or professional standards. For example, if you register on a Fellowmind website and provide information about your preferences, we will use that information to customize your user experience. If you submit a resume or curriculum vitae (CV) to apply online for a position with Fellowmind, we will use the information you provide to match you with available Fellowmind job opportunities.

1.2 Normally, we only collect the personal information necessary to fulfill your request.
If additional optional information is desired, you will be notified at the time of collection.
European law allows us to process personal information as long as we have a legal basis to do so. It also requires us to tell you what those bases are. Therefore, when processing your personal information, we will rely on one of the following processing conditions:

  • Performance of a contract: This is when the processing of your personal information is necessary to fulfill our obligations under a contract;

Fellowmind does not collect special categories of personal data, such as diversity-related information (including data on race and ethnic origin, political opinions, religious beliefs, and other beliefs of a similar nature, union membership, and data on sexual life and sexual orientation), or health and data on alleged or proven criminal offenses.

1.3 Automatic collection of personal information
In some cases, Fellowmind and its service providers use cookies, web beacons, and other technologies to automatically collect certain types of information when you visit us online, except when you did not give us permission to do so when you first visited us online. The collection of this information allows us to customize your online experience, improve the performance, usability, and effectiveness of Fellowmind’s online presence, and measure the effectiveness of our marketing activities.

1.3.1 IP addresses
An IP address is a number assigned to your computer each time you go online. It allows computers and servers to recognize and communicate with each other. IP addresses that visitors appear to come from may be recorded for IT security and system diagnostic purposes. This information may also be used in aggregated form for website trend and performance analysis.

Cookies may be placed on your computer or internet-enabled device when you visit us online. This allows the website to remember your computer or device and serves various purposes.

While most browsers automatically accept cookies, you can choose whether to accept or change cookie settings through your browser settings or the cookie statement page in the footer of our website or via this link. You can also delete cookies from your device at any time. However, please be aware that if you do not accept cookies, you may not fully experience some of our website features.

Sharing and transfer of personal information

We do not share personal information with third parties except when necessary for our legitimate professional and business needs and/or as required or permitted by law or professional standards. Fellowmind will not transfer personal information outside the EEA or store personal information there. Fellowmind will not sell or transfer the personal information you provide to any third parties for their own direct marketing use.

Choices

In general, you are not obligated to submit any PII to Fellowmind online, but we may require you to provide certain PII for you to receive additional information about our services and events. Fellowmind may also seek your consent for certain uses of your PII, and you may accept or decline these uses. If you sign up for specific services or communications, such as an e-newsletter, you will be able to unsubscribe by following the instructions in each communication. If you choose to unsubscribe from a service or communication, we will attempt to remove your information promptly, although we may require additional information before processing your request.

As described in “Cookies” above, if you wish to prevent cookies from tracking you while browsing our websites, you can reset your browser to reject all cookies or to indicate when a cookie is being sent. However, please note that some parts of our websites may not function properly if you choose to reject cookies.

Your rights

If Fellowmind processes personal information about you, you have the following rights:

Access and rectification: You have the right to access this data. This is sometimes called a ‘Subject Access Request.’ If we agree that we are obligated to provide you with personal information, we will provide it to you free of charge. Before providing you with personal information, we may ask for proof of identity and sufficient information about your interactions with us so we can locate your personal information. If the information we have about you is incorrect, you have the right (right to rectification) to ask us to correct any inaccuracies in the personal information.

Objection to processing: You have the right to object to us processing your personal information if we no longer have the right to use it.

Other rights: Additionally, you may have rights to have your information deleted if we keep it for too long, restrict its processing under certain circumstances, and/or to obtain copies of information we have about you in electronic form.

Data security and integrity

Fellowmind has reasonable security policies and procedures in place to protect personal information from unauthorized loss, misuse, alteration, or destruction. Despite Fellowmind’s best efforts, security cannot be guaranteed absolute against all threats. To the best of our ability, access to your personal information is restricted to those who need to know it. Individuals with access to the data are obligated to maintain the confidentiality of such information.

We also make a reasonable effort to only retain personal information for as long as: i) the information is necessary to fulfill a person’s request, ii) as necessary to comply with legal, regulatory, internal business, or policy requirements, or iii) until the individual requests that the information be deleted.

Changes to this policy

Fellowmind may change this privacy policy from time to time to reflect our current privacy practices. When we make changes to this policy, we will revise the “updated” date at the top of this page. Any changes in the handling of personal information as described in this privacy policy that affect you will be communicated to you through an appropriate channel, depending on how we typically communicate with you.
