Municipality of Hjørring promotes internal communication, creates greater interaction between employees and supports a positive internal culture with a new modern intranet
Municipality of Hjørring is the second largest Municipality in North Jutland with five different administrations and over 6,000 employees.
The municipality’s former intranet was just a closed website, which gave the editors very few opportunities to create relevant content and engage users: “On the old platform, we only had news that we could push out and links to a few tools. Therefore, it was a clear wish for Hjørring Municipality to get a solution that to a greater extent suited an organization of their size. The municipality had already begun the transition to a modern digital workplace based on Microsoft 365, and therefore there was no doubt that the intranet should be based on SharePoint. In this way, employees would be able to recognize the user interface, and there would be good integration with the rest of the Microsoft 365 tools.
Municipality of Hjørring had previously collaborated with Fellowmind, and after a market study it was clarified that Fellowmind should help build and implement the new more interactive solution with IntraActive Intranet as a platform.
Targeted information
News plays a key role in the municipality’s internal communication, and with the IntraActive module Content Creation, it is now easier for the municipality to reach everyone in the organization at once.
At the same time, with a single click, they can target specific news and information across interests, locations and administrations. “It is our expectation that with the new platform we can reduce the many e-mails that are circulated in the organization. We want to get the employees used to the fact that it is on the intranet they find out about everything from management information to operational messages and emergency reports ”.
To ensure that employees receive the most important information, Municipality og Hjørring also uses the IntraActive product Pling; a chatbot that sends out a messages to the employees in their Microsoft Teams client and thereby helps users stay up to date on the intranet.
To have a focus on what is in demand
Municipality of Hjørring went live with their new intranet on 1 April 2022.
According to Daniel Rask, the rollout has so far exceeded all expectations. “Internal communication has generally been boosted in all the organization. Even though the buttons are in other places than the employees have been used to, the municipality’s employees have welcomed the new solution. Now the task is to spread the knowledge of the intranet and the many new features it provides access to ”. According to Daniel Rask, the plan is to take a demand-oriented approach and start the adoption work with the most motivated target groups.
In addition, the steering group is in the process of building unique solutions for different parts of the municipal organization so that they meet their special needs.
AN INTERACTIVE INTRANET
With the previous intranet, Municipality of Hjørring had a good grip on the administrative departments, but as it is the case in other municipalities with a decentralized structure, there are several employees who do not necessarily remember to go to the municipality’s official intranet. Therefore, there has also been a focus on simplifying the entrance to the intranet.
“Until now, it has been more difficult for the decentralized user groups to access the intranet. With SharePoint, access from mobile devices has become easier, as the users no longer have to log in with NemID when they are not on the network of Municipality, ”says Daniel Rask and concludes: “It is something completely different to have an interactive intranet when you come from a closed website with only one-way communication. The fact that employees can send a like or comment on a news article helps to support a positive internal culture, and we are very excited to see how the municipality’s employees embrace the new communication platform. We are well on our way with the new IntraActive solution, and now it’s just up to us to fine-tune the rest ”.
